GUIDANCE NOTES FOR MASTERS & SCOPE OF P&I CONDITION SURVEY The Ship Condition Survey must not compromise safety, interfere with the ship’s normal operations, delay schedules or in any way commercially inconvenience the ship or the Members. In accordance with the requirements of the International Group of P&I Clubs, ships may need to be surveyed as a condition of acceptance, renewal of entry, or at the discretion of the Britannia P&I Club’s Managers. The cooperation of the Master is essential to ensure that the ship condition survey is conducted efficiently and without disruption to the vessel’s normal operations. The principal purpose of the survey is not to impede the ship’s commercial activities or schedules, but to provide the club with an accurate record of the vessel’s condition as well as an overview of its on board management systems. The inspection focuses on verifying that appropriate safety standards and operational practices are being maintained, with emphasis on identifying matters that could give rise to liabilities. Masters are requested to extend all reasonable assistance to the attending surveyor by facilitating access, providing documentation, and clarifying operational practices as required. Such cooperation will allow the survey to be completed in a timely manner and without causing inconvenience to the ship, her crew, or her commercial activities. Shipowners may be assured that condition surveys commissioned by the Britannia P&I Club are designed and conducted with full regard to the safe and efficient operation of the vessel. Surveyors are expressly instructed that: 1. Surveys must not compromise safety, interfere with the vessel’s normal operations, or disrupt the rest hours of the crew. 2. Surveys must not cause delays, disrupt the ship’s trading schedule, or in any way commercially inconvenience the vessel. 3. All inspection activities are to be prioritised in accordance with the vessel’s trading pattern, ship type, and the time available, ensuring a balanced and proportionate approach. The survey process is therefore intended to be practical, efficient, and minimally disruptive, while still providing the Club with an accurate and objective assessment of the vessel’s physical condition and management systems. The condition survey will follow the International Group of P&I clubs condition survey forms which can be found here.
